Planning Giant ("we", "us", or "our") is committed to protecting your personal information in accordance with Canada's Personal Information Protection and Electronic Documents Act (PIPEDA) and Ontario's applicable privacy legislation. This policy explains what we collect, how we use it, and the choices you have.
Planning Giant is a Canadian event planning marketplace headquartered in Ontario, Canada. We operate planninggiant.com — a platform that connects event planners, couples, and hosts with vendors offering services across 37+ event categories including photography, catering, venues, entertainment, decor, transportation, and more.

From Event Planners & Users
- Name and email address (for account creation and notifications)
- Profile photo (optional, uploaded by you)
- Event details you choose to enter (dates, guest counts, budget, location)
- Checklist tasks, mood boards, seating charts, and planning data you create
- Guest lists and RSVP information you upload
- Messages exchanged with vendors through our in-app messaging system
- Booking and payment records (payment card details are held by Stripe, not us)
From Vendors
- Business name, email, phone, location, and website
- Business number, tax ID, and banking details for payouts (stored encrypted)
- Portfolio images and videos you upload
- Verification documents (insurance certificates, business registrations)
- Subscription and billing records
- Lead marketplace activity and CRM pipeline data
Automatically Collected
- IP address, browser type, and device information (for security and analytics)
- Page views and feature usage via Google Analytics (anonymized)
- Email open and click events via tracking pixels (for campaign analytics)
- To operate the platform and provide you with its features (matching, booking, messaging)
- To process payments and payouts securely via Stripe
- To send transactional emails (booking confirmations, quote requests, invoices)
- To send service and promotional emails you have consented to or which are lawful under CASL
- To improve our platform through anonymized usage analytics
- To display your vendor profile publicly so planners can discover and contact you
- To verify vendor credentials and maintain trust and safety standards
- To provide AI-powered features (event planning, budget estimation, lead matching) — your data is processed but never used to train external AI models
- To comply with legal obligations and enforce our Terms of Service
Planning Giant sends emails under Canada's Anti-Spam Legislation (CASL). We rely on express consent (when you sign up or opt in) and implied consent (for business-to-business commercial activity) as permitted by CASL.
Vendor claim-profile outreach: If your business appears in our vendor directory, you may receive an email invitation to claim your free profile. This is sent under CASL's implied consent provision for existing business relationships. Each email contains a clear unsubscribe mechanism. We send at most a limited series of emails; sequences stop automatically when you claim your profile or unsubscribe.
Marketing emails: We send newsletters, promotional updates, and feature announcements to users and vendors who have consented. You can manage or withdraw consent at any time via Email Preferences in your account settings or the unsubscribe link in any email.
Transactional emails (booking confirmations, invoices, security alerts) are not subject to opt-out under CASL as they are essential to the service.
We do not sell, rent, or trade your personal information. We share data only as follows:
- With vendors you contact: When you send a quote request or message, the vendor receives your name and message. Your email is only revealed if you include it.
- With Stripe: Payment card information is processed directly by Stripe (PCI-DSS Level 1). We receive only a payment token and transaction status.
- With Google: We use Google Analytics (anonymized) and Google Maps for address autocomplete. Google's privacy policy applies.
- With AI providers: Event and vendor data may be sent to OpenAI or Google for AI features. Data is processed per their data processing agreements and is not used to train models.
- Legal requirements: We may disclose information when required by law, court order, or to protect the rights and safety of our users.
We retain your data for as long as your account is active or as needed to provide services. Specifically:
- Active account data is retained until you request deletion
- Upon account deletion, personal data is permanently removed within 30 days
- Financial and transaction records may be retained for up to 7 years as required by Canadian tax law
- Email suppression lists (unsubscribes, bounces) are retained indefinitely to prevent re-contacting opted-out addresses
Under PIPEDA you have the right to:
- Access: Request a copy of the personal information we hold about you
- Correct: Update inaccurate or incomplete information in your profile settings
- Export: Download your event data, bookings, and messages from your account
- Delete: Permanently delete your account and associated data (Profile → Delete Account)
- Withdraw consent: Opt out of marketing emails at any time via Email Preferences or any email's unsubscribe link
- Complain: Lodge a complaint with the Office of the Privacy Commissioner of Canada
All data is encrypted in transit (TLS 1.2+) and at rest. We use industry-standard security practices including access controls, monitoring, and regular audits. Payment processing is handled exclusively by Stripe (PCI-DSS compliant) — we never store your full card number. Vendor banking details are stored encrypted and accessed only for payout processing.
We use session cookies for authentication and Google Analytics cookies (anonymized) for platform improvement. We do not use third-party advertising cookies or behavioral tracking for ad targeting. You can disable cookies in your browser settings; however, some platform features may not function correctly without session cookies.
